Terms and Conditions
A deposit payment of £250 per person must be paid either by credit/debit card through our online booking facility or by cheque payable to Sandbaggers Ltd and must accompany the application. Your participation is not confirmed until the deposit is paid and a confirmation of booking has been issued by us. The full balance must then be paid in accordance with the dates specified in your competitors briefing document. Failure to do so may result in the cancellation of your participation and the loss of your deposit.
Confirmation
A contract shall exist between you and the organisers, once an application form and deposit is received by us and confirmation of your place has been despatched by us. This is usually within two weeks of receiving your application form and deposit.
Cancellation by you
Should you have to cancel for unavoidable reasons, the following restrictions will apply:
• Your deposit of £250 is non-refundable.
• Entries can be transferred to a nominated replacement competitor for participation the same year.
Changes by us
In the interests of safety, and dependent on local conditions it may sometimes be necessary for us to make alterations to the event as detailed on the race website, marketing material and/or competitors briefing pack, before or after your booking has been confirmed. We reserve the right to do so at our absolute discretion. If it is necessary for us to make a significant change to the event we will inform you as soon as possible.
Medical and Safety Information
Obviously your safety is of paramount importance during the event. While all steps will be taken to ensure this, it must be stress that ultimately you are responsible for your own well-being and safety during the event. Medical cover will be provided with a team of experienced medics present at all times. Throughout the event support vehicles will be available should you wish to withdraw.
In the interests of your own safety you will be required to provide a recent letter from your doctor stating that you are physically fit to take part in this kind of arduous event. The letter should be dated within 1 month of the start date of the trip and must include a valid ECG trace.
Cancellation by us
In the extremely unlikely event the race has to be cancelled for circumstances outside of the organisers control, a full refund will be given.
Hazardous activities
Participation in any outdoor activity can be potentially hazardous. Participants must make their own judgements on their own abilities and participate entirely at their own risk.
Insurance
Due to the adventurous nature of this event, the organisers cannot guarantee your safety. All possible precautions to minimise the dangers will be taken, but the event remains one that you undertake at your own risk. Prior to starting the event, you will be required to complete and sign a disclaimer form which acknowledges your own responsibilities in entering for the race. Provision for personal insurance cover should be made by you.
Dietary requirements
With regards to the Pre and Post race parties, please advise us of any specific dietary requirements at the time of booking. We aim to exceed your expectations and will endeavour to cater for any specific requirements. However, we cannot guarantee that we will cover all requirements if we are not notified in advance.
Transfers
All transfers to and from the ferry terminal/airport on Islay required for participation in British Ultra are included in the cost price of participation in the event. As is the Ferry cost during the race between the Islands of Islay and Jura.
Vehicle Support
Full vehicle support is included in the cost price of participation in the event. This does not include taxis or other forms of transport outside the scope of participation in British Ultra
Visa
International competitors should note that you are responsible for organising all relevant visas for the trip.
Flights
The organisers are unable to book flights or ferry crossings to or from the start at Islay and take no responsibility for any delays, cancellations, loss of property or any other event pertaining to participants travel to or from participation in the event.
Rules
1. Upon registration, all competitors agree to abide by the rules and regulations, terms and conditions as set out by the organisers. Terms and conditions may be subject to change at short notice.
2. In any dispute, the Race Directors decision will be final and binding on all parties.
3. The organisers reserves the right to alter or modify any aspect of the British Ultra itinerary at short notice in response to unforeseen circumstances in order to ensure the safety and security of all participants. Therefore, the organisers and representatives strongly encourage each participant to purchase trip cancellation insurance.
Age
All competitors must be 18 years of age or older.
Entries
Open to men and women, individuals and teams.
Team Entries
1. All teams must have three members in total.
2. To qualify for a team ranking all team members must complete the race.
3. Individual team members will also receive individual overall rankings.
4. Team times will be calculated as the total time taken by all members of the team to complete the race.
Race Stages
1. There will be 6 stages over 6 days varying in distance.
2. In the interests of safety each stage will have a maximum time for completion. Failure to complete a stage in the allocated time may result in that individual's elimination from the race.
Alterations To The Race Itinerary
The organisers reserves the right to alter or modify any aspect of Island Ultra at short notice in response to unforeseen circumstances in order to ensure the safety and security of all participants.
Checkpoints
1. These will be located at varying distances depending on terrain, but will generally be approx 7 to 10km apart.
2. Competitors must pass through and check-in at all the checkpoints on each stage.
3. At each checkpoint a water ration of 1.5l per athlete will be distributed.
4. Failure to pass through a checkpoint will result in elimination from the race.
Finishing A Stage
1. A water ration will be distributed to each competitor at the completion of each stage.
2. On the completion of each stage each competitor will be timed in.
Race Number
Each competitor will be issued with a unique identifying race number. This must be displayed clearly at all times during the race.
Mandatory Equipment
Competitors will be required to carry a number of essential items of equipment necessary to ensure their safety. Failure to carry any of these items will incur a time penalty and/or disqualification from the race.
Water Supply
For the duration of the race, officials will supply and distribute a water ration to each competitor: before the start of each stage, at the conclusion of each stage and at each checkpoint along the route.
It is the individual participant's responsibility to manage his or her water intake and prevent dehydration.
Outside Assistance
1. The only assistance permitted is from race officials.
2. No use of any form of transport or outside provisions is allowed during the race.
3. Any infringements of this rule will result in disqualification.
Food
1. Competitors will be required to provide their own food of sufficient calorific value for the duration of the race.
2. Due to the anticipated additional equipment required to compete in an event of this nature within the UK, the organisers will transfer for each competitor a single bag containing food between stages. There will be no access to the food bags during each stage. These bags must be clearly marked with the competitors name and must only be used for food. The maximum total weight of the food bag prior to the start must not exceed 4kg and will be weighed prior to the start and thereafter daily to ensure that the weight is decreasing at a proportionate rate.
3. As the race progresses and the food is consumed, NO items (clothing or equipment) may be placed in the bag to replace the food used
4. Athletes will be required to carry sufficient food daily for their personal use and for emergency purposes.
5. Food requirement beyond the 4kg limit will be required to be carried by the athletes.
6. The 4kg weight is an arbitrary figure set by the organisers and should not be used as a calculator for your calorific requirements.
Withdrawal
Competitors wishing to withdraw from the race may do so at any time by informing a race official of their wish to do so. Should they so wish, arrangements for return to a suitable port for transfer to the mainland can be made at the competitors' expense. The organisers cannot guarantee the availability of return ferries or flights in such an eventuality. Additional accommodation arising as a consequence of this shall be met at the participants' expense.
Penalties
1. At the discretion of the race director, time penalties of one hour each shall be made for any breach of the rules and regulations.
2. Appeals must be made to the race director at least two hours prior to the start of the next stage.
3. Awarded time penalties will be added to individual times at the end of each stage.
4. Severe breaches, which can be construed as wilful cheating may result in disqualification.
Disqualification
Disqualification will result in the competitor leaving the race with no ranking and no refund. Transportation to the finish line and accommodation will be at the runner's expense unless they elect to remain with the remaining runners and race officials until the conclusion of the race.
Race Results
Competitors will be ranked with times indicated in hours, minutes and seconds. Prizes and finishers medals will be distributed according to position.
Miscellaneous
In the absence of a rule for some obscure reason, common sense will prevail and the organiser's decision on such occasions will be final.
Health And Saftey
The safety of all competitors is of paramount importance to the race organisers. While it remains the concern of race officials, the responsibility for personal safety ultimately rests with the individual participant. |
